Technology Refresh Policy

The purpose of this document is to provide information on the workstation lifecycle refresh for College of Law.

The College of Law provides workstations to faculty/staff, and other additional shared workstations for multiple uses. These are high-performance machines that are used daily. Over time, the performance can decrease, issues can start to arise, and the machines need to be replaced/upgraded.

Windows Workstations

The standard desktop workstation setup is outlined in Workstation Configuration Standards policy.

The refresh cycle includes a 4-year warranty period and then extends another 1 year, allowing the device to be deployed for 5 years. Once it reaches the 5-year mark, Technology Services will apply the Technology Refresh Policy and replace it with a new machine according to standardized policy. Exceptions for early or extended refresh will require Chief of Staff and Director of IT approval.

Any user data should be saved to a storage solution with backups, such as file shares or OneDrive. Technology Services will pull any remaining data off the machine being replaced and restore it to the new machine. The data and old device will be saved for 30 days within Technology Services and then deleted and salvaged.

Apple Workstations

These are not purchased with Apple Care and have a 1-year warranty. These devices have a higher cost and longevity in the field.

The refresh cycle includes a 1-year warranty and then extends another 6 years, allowing the device to be deployed for 7 years. Once it reaches the 7-year mark, Technology Services will apply the Workstation Refresh Policy and replace it with a new machine according to standardized policy. Exceptions for early or extended refresh will require Chief of Staff and Director of IT approval.

iPads

iPads come with a 1-year warranty and are not purchased with Apple Care. Due to the nature of their usage, they will be replaced every 10 years unless they experience performance issues sooner and replacement approval is obtained from the Director of IT and Chief of Staff.

iPads will be issued to members of the Senior Leadership Team upon request and approval of the Director of IT and Chief of Staff.

Network printers

Multi-function printers are serviced by a third-party vendor and budgeted for replacement after 7 years.

Desktop printers

The life span for Laserjet printers is typically 10 years and have a 1-year warranty. To reduce costs for the printer and toner, desktop printers will require a business need. For sustainability and cost reasons, faculty/staff are encouraged to utilize the multi-function printers that are purchased and have service contracts.
